Artisans Almanac — Privacy Policy

This Privacy Policy explains what Artisans Almanac ("we", "us") collects, how we use it, and the choices you have. It is part of our Terms of Service. Artisans Almanac is operated by an individual based in South Carolina, United States. Artisans Almanac is intended for adults (18+); we do not knowingly collect data from anyone under 18.

1. Information we collect

• Account information — your email address, your first and last name (and optional display name), and your password, stored only as a cryptographic hash (scrypt), never in plain text. If you sign in with Google, we receive your Google email, name, and profile image. We also store a normalized form of your email to enforce one free trial per person.
• Team information — if you create or join a shared team (workspace), we store who is on the team, each member's role (admin or member), and pending email invitations.
• Tracker data you add — the shows and markets you track and their applications: names, organizers, locations, dates, deadlines, booth and application fees, tags, your application status, sales, expenses (including mileage), private notes, and any text, links, or screenshots you submit for AI extraction. Screenshots and pasted content submitted for extraction are sent to our AI provider to read the event details (see Section 3); we don't currently store uploaded images. Your home location is used for distance sorting and reminders.
• Vendor profile / application kit — optional details you save to reuse across applications: artist bio, statement, materials, price range, websites, and social links, plus optional references for a business license, insurance, or tax ID. This profile data is private to you and your team and is never added to the Discover directory.
• Event submissions — factual event details you or a market organizer submit to the shared directory.
• Reviews — where review features are available, if you review an event you attended we store your ratings, your optional written comment, and the event and account it belongs to. Reviews are shown to other users only in aggregated and/or de-identified form (we don't display who wrote a review), and your comment may be sent to our AI provider to generate a short summary shown on the event (see Sections 3–4).
• Payment information — handled by our payment processor, Square. We never see or store full card numbers; we store only your subscription status and the Square customer/subscription identifiers needed to manage your plan.
• Usage and device data — basic operational and hosting logs (e.g., IP address, browser type, timestamps, error events) used to operate, secure, and debug the Service. We do not run third-party advertising or analytics trackers. If you arrived through a referral link, we store that referral code.

2. How we use your information

• To provide and operate the Service — track shows, send reminders, the optional weekly digest, and post-show follow-ups, and manage your account, team, and subscription.
• To process payments and prevent abuse (including detecting duplicate free trials).
• To build and improve the shared Discover directory from factual event details, as described in Section 4.
• To improve the product, fix problems, and respond to feedback you send us.
• To communicate with you about your account, security, password resets, team invitations, and service changes.

We do not sell your personal information, and we do not use it for third-party advertising.

3. AI processing

We use a third-party AI provider (Anthropic) for several optional, convenience features. Depending on what you do, the following content is sent to that provider:

• Event extraction — text, links, or screenshots you submit to add or re-check a show, to return structured fields such as event name, dates, and deadline.
• Directory verification — event details, to help assess whether a listing appears legitimate.
• Import column mapping — the column headers and a small sample of rows from a spreadsheet you import, to map it to our fields.
• Application-answer drafting — your saved profile details (such as bio, statement, and materials) and the show context, to draft answers to jury/application questions for you to edit.
• Help assistant — your question and our public help content; it does not have access to your account data.
• Review summarization — the written comments from published reviews of an event, to generate a short, de-identified summary paragraph shown on that event. Comments are processed as data only; the summary is not attributed to any reviewer.

AI output is a draft or convenience signal, not a guarantee — always review it before relying on or submitting it. Don't submit anything confidential that you don't want processed this way.

4. The Discover directory

Artisans Almanac maintains a shared Discover directory of craft shows and markets. It is built from several sources, all of which are de-duplicated and reviewed before a listing is published:

• Shows that vendors track. When you add a show to your tracker, a narrow set of its factual event details — the event name, its venue/location, dates, and links — are used to build the directory shown to other users. This is a standard, non-optional part of using Artisans Almanac; there is no opt-out for contributing these factual details. We never include your identity, your application status, the application deadline, any fees (booth or application/jury) or amounts you paid, your sales or expenses, your notes, your profile, or your images — only the event name, location, dates, and links.
• Organizer submissions. Market organizers can create a free organizer account and submit their own events.
• Public sources. We compile event facts from publicly available craft-show and market websites and listings.
• Vendor reviews. Where review features are available, reviews vendors leave about events they attended are shown to other users in aggregated and de-identified form — average ratings, a "would-return" rate, and an AI-written summary of comments. We never display who wrote a review.

Because directory entries are objective facts about public events (not personal data), the same fact may be reported by several sources and may remain in the directory even if you later delete your account. You can report an inaccurate or inappropriate listing at any time, and we may edit, decline, or remove any listing.

5. How we share information

We share information only with service providers that help us run Artisans Almanac, under their terms:

• Square — payment processing and subscription billing.
• Resend — to deliver account, security, reminder, digest, follow-up, invitation, and feedback emails.
• Anthropic — AI extraction and the help assistant, as described above.
• Google — only if you choose to sign in with Google.
• OpenStreetMap / Nominatim — to convert the locations you enter (your home location and show addresses) into map coordinates for distance features.
• Hosting and database providers — to run the application and store its data.

We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of users or the public. If the Service is ever transferred to another operator, account data may transfer as part of that transaction.

6. Your team and your privacy

If you join or create a shared team, everyone on that team can see and edit the team's shows, applications, expenses, notes, and profile. Your individual account credentials and personal login details are not shared, but the work you do in a shared workspace is visible to your teammates. The team's admin manages who has access and can remove members.

7. Your rights and choices

• Access & export — export your shows and applications from the app at any time as a spreadsheet-friendly CSV, regardless of subscription status.
• Correct — edit your account details and entries at any time.
• Delete — delete your account from Settings. This removes your personal data and login. If you are the only member of your team, the team's shared data is deleted too; if other members remain, the shared data stays for them. De-identified factual directory entries remain, because they are facts about public events and may also have been reported by others. Any reviews you posted are likewise already shown de-identified, and we may retain them in aggregated/anonymized form (no longer linked to your account) so an event's overall ratings and summary stay accurate.
• Email preferences — our emails are transactional (account, security, reminders, digest, follow-ups, invitations). You can turn off the weekly digest, deadline reminders, and post-show follow-ups in Settings.

Depending on where you live, you may have additional rights (for example, under the California CCPA/CPRA or the EU/UK GDPR), including rights to access, correct, delete, or opt out of "sharing." To exercise any right, contact hello@artisansalmanac.com.

8. Data retention & security

We keep your data while your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. On account deletion we remove your personal data as described in Section 7. We use reasonable technical and organizational safeguards (including hashed passwords and encrypted transport), but no system is perfectly secure, and we can't guarantee absolute security. Our operator and authorized administrators may access account data where necessary to operate, support, secure, or moderate the Service.

9. International users

We operate the Service from the United States. If you access it from elsewhere, you understand your information will be processed in the United States, where data-protection laws may differ from those in your country.

10. Children

Artisans Almanac is for adults (18+). We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this policy

We may update this Privacy Policy. Material changes will be posted here with a new effective date. Continued use after changes means you accept the updated policy.
